The Software Reads It Before Any Human Does
Before a recruiter ever opens your resume, it almost certainly goes through a piece of software first. 97.8% of Fortune 500 companies run an applicant tracking system (ATS) on their careers page, and mid-size employers aren't far behind. That software isn't reading your resume the way a person would. It's parsing it: breaking the document into fields (name, contact info, job titles, dates, skills, education) and storing that structured data in a database the recruiter searches later.
This matters because "parsing" and "reading" are not the same action. A human skims a resume and fills in gaps automatically, glancing at a two-column layout and just reading it in the order that makes sense. Parsing software doesn't fill gaps. It follows a document's underlying structure literally, and most resume templates were designed to look good, not to structure cleanly.
Where Parsing Actually Breaks
Three formatting choices reliably cause problems, based on how parsing engines are built to read documents:
- Multi-column layouts and text boxes. Parsers generally read left-to-right, top-to-bottom, in a single stream. A two-column resume can get read across both columns as one garbled line, mixing your "Experience" and "Skills" sections into nonsense.
- Contact info in the header or footer. Many parsers skip header and footer regions entirely, since those are typically used for page numbers and running titles, not content. Put your name and phone number there and some systems never extract them at all.
- Tables, graphics, and icons for section labels. A skill bar rendered as a graphic has no extractable text. An icon standing in for "Email:" gets dropped, sometimes taking the field next to it with it.
None of this is about the resume looking unprofessional. A resume that looks clean on screen can still parse into a jumbled mess, because "looks right" and "structured right" are judged by two completely different readers.
What Happens After It Parses Correctly
Once your resume is parsed into fields, most modern ATS platforms compare it against the job description using more than plain keyword matching. Natural language processing and semantic matching mean a system increasingly understands "led a team of six" as related to "team leadership" even without an exact phrase match. That's a real improvement over the older keyword-stuffing era. But it only works on data the system actually captured. Semantic matching can't reason about a skill that never made it out of a broken table.
The stakes for getting this right are rising, not falling. Robert Half's 2026 survey of U.S. hiring managers found 84% report heavier workloads from a surge in AI-tailored applications, and 67% say reviewing them has slowed hiring down. Recruiters facing that volume lean on ATS scoring and filters harder, not less, which means a resume that fails to parse cleanly is more likely to get filtered out before anyone looks twice.
What To Actually Do About It
- Use a single-column layout with standard section headers such as "Experience," "Education," and "Skills," not creative renamings like "My Journey."
- Put your name, phone number, and email in the main body of the document, not a header or footer.
- Skip tables, text boxes, and graphics for anything that needs to be read as text, including skill ratings, icons, and logos.
- Save and submit in the format the job posting requests. When you have a choice, a .docx file with fully linear text tends to parse more predictably than a heavily designed PDF, because a PDF's internal text stream doesn't always follow the visual reading order.
- Match the language in the job description where it's genuinely true of your experience. Semantic matching helps, but it isn't a substitute for using the terms the role is actually searching for.
