The machine reads your resume before any recruiter does

97.8% of Fortune 500 companies now run every application through a detectable applicant tracking system before a human ever opens the file. That software isn't skimming your resume the way a person would. It's pulling your work history, dates, titles, and skills out of the document and dropping them into structured fields — and it does that by pattern-matching plain text against expected section headers, not by understanding design or layout the way you see it on screen.

What "parsing" actually means

When you upload a resume, the ATS runs it through a parser that tries to extract specific data points: your name and contact info, each job title and employer, start and end dates, your degree, and a list of skills. Some systems then use that extracted data to auto-rank or filter you against the job posting; per Jobscan's own research, 76.4% of recruiters search and rank candidates by skills pulled straight from the job description. If the parser mis-reads or drops a skill, a title, or a date, the system's internal record of you is wrong — even though the resume looks completely correct to your eyes.

Where parsing actually breaks

Parsers are built around plain, linear text. They struggle with anything that isn't a simple top-to-bottom flow of words:

  • Tables and text boxes. Content inside a table cell or a floating text box often gets skipped entirely, or reordered in a way that scrambles your job history.
  • Multi-column layouts. A parser reads left to right, line by line — it doesn't know your resume has two columns, so it can interleave your skills list with your work experience mid-sentence.
  • Headers and footers. Contact details placed in a document header or footer are frequently ignored by the parser, which means your phone number and email never make it into the system at all.
  • Icons and graphics standing in for text. A phone icon next to your number, or a bar chart instead of a written skill level, communicates nothing to a parser that only reads text.
  • Non-standard section headers. "Where I've Made an Impact" might read well to a person, but a parser looking for "Experience" or "Work History" may not recognize it as the experience section at all.

How to keep your resume parsing clean

None of this requires reinventing your resume. It means making a few specific, low-effort choices:

  • Use one column, top to bottom, in the order: contact info, summary, experience, education, skills.
  • Label sections with standard terms — "Experience," "Education," "Skills" — instead of creative alternatives.
  • Keep your name, phone number, and email in the main body of the first page, never in a header or footer.
  • Avoid tables, text boxes, and columns for anything you need the system to actually register.
  • Spell out acronyms at least once, e.g. "Search Engine Optimization (SEO)," so the parser catches both the abbreviation and the full term.
  • Save and submit as a plain DOCX or a simple, text-based PDF (not a scanned image or a design-tool export) whenever the application allows a choice.

You can approximate what a parser sees by opening your resume, selecting all the text, and pasting it into a plain text editor. If your job titles, dates, and skills come out in the right order and nothing important is missing, a parser will likely read it correctly too.
